Custom LMS vs Moodle vs Off-the-Shelf: Which Should You Choose?

Disclosure: Kaz Software publishes this guide and builds the DTCLMS learning platform. We have tried to keep the advice useful whichever vendor you choose. We build custom platforms, so we have a bias. Custom is not the right answer for every organisation, and this guide says so.

The short answer

Choose an off-the-shelf SaaS product if your needs are standard and you want to launch quickly. Choose Moodle if you are an educational institution, or have IT skills in-house, and want an open-source base you can extend. Choose a custom LMS if your workflows, integrations or reporting are specific enough that you would otherwise be bending a product around your process.

When off-the-shelf is the right call

  • Your needs match standard course-and-quiz features.

  • You need to launch within weeks.

  • You have few integrations.

  • You have no special data-location requirements.

  • Per-user pricing is acceptable at your scale.

When Moodle is the right call

  • You are a school or university with standard course and gradebook needs.

  • You have in-house IT, or a partner, who can host and maintain it.

  • You want to avoid licence fees.

  • You value a large plugin ecosystem.

  • You are happy to adapt some processes to how Moodle is organised.

When a custom LMS is the right call

  • Mandatory training must escalate to managers along the reporting line.

  • You need deep integration with HR, single sign-on or your own products.

  • You need a specific Bangla and English experience.

  • Auditors or donors require reports in a particular format.

  • You want learning embedded inside your own product.

  • You expect enough users that per-user fees add up.

A fair warning about custom

A custom LMS means you own its upkeep. It needs a partner who will keep it secure, patched and documented, and a firm hand on scope. A good rule: build custom only where your process is genuinely different, and buy or configure everything else. Our Custom LMS Development Cost in Bangladesh: What Drives the Price explains where the money goes.

Five questions to decide

  • How different is our workflow from a standard course-and-quiz flow?

  • Who will maintain the platform for the next three years?

  • Which systems must it connect to?

  • What must we be able to prove to an auditor or donor?

  • What will per-user fees look like at the scale we expect?

Frequently asked questions

Does Moodle support SCORM?

Yes, Moodle supports SCORM packages. Check which SCORM versions you use and test your actual packages before you commit.

Can a custom LMS import courses from other systems?

It can, if you specify it. Ask for SCORM and xAPI import and test with your own packages. See SCORM vs xAPI: What's the Difference and Which Does Your LMS Need? for what to check.

Is open source the same as free?

The software licence is free, but hosting, setup, customisation, security updates and support are not.
